The Trexpert Standard Cancellation Policy
We understand the disappointment that comes with having to cancel a trek or when a trek is called off. As avid trekkers, we eagerly anticipate our treks, and it's truly disheartening to have to cancel after months of preparation and anticipation. That's why we have put in place a cancellation policy that is considerate of trekkers.
This policy will be in effect starting October 15th, 2023.

How to cancel your trek
The Trexpert Standard Cancellation Policy for trek cancellations is as follows:
1. If you cancel the trek 30 days before the start date, you will receive a refund with a 10% cancellation fee.
2. If you cancel the trek between 29 and 21 days before the start date, you will receive a refund with a 50% cancellation fee.
3. For cancellations within 20 days of the trek start date or for no-shows on the trek start day, unfortunately, no refund or voucher will be provided.
4. In case you used a voucher for trek registration and now wish to cancel, the above cancellation policy will apply. Any remaining balance in your voucher after cancellation charges will remain credited to your account. If the voucher has expired at the time of cancellation, no refund, voucher, or extension will be provided.
The Trexpert Cancellation Policy for Trekking Summer Camps:
Cancellation policies for summer camp treks differ slightly from our regular treks. This policy applies to both summer camp treks and chaperone services.
1. If you cancel the summer camp trek 45 days before the start date, you will receive a refund with a 10% cancellation fee.
2. If you cancel the summer camp trek between 45 and 21 days before the start date, you will receive a refund with a 50% cancellation fee.
3. For cancellations within 20 days of the summer camp trek start date or for no-shows on the start day, unfortunately, no refund or voucher will be provided.
Cancellation Policy for Nepal and International Treks with Trexpert:
There are specific cancellation policies for Nepal and International treks compared to our regular treks.
1. Cancellation 45 days before the trek start date — Receive a refund with a 10% cancellation fee.
2. Cancellation between 45 and 21 days before the trek start date — No refund. You have the option to reschedule with a 20% cancellation fee.
3. Cancellation within 20 days of the trek start date, or if you do not show up on the trek start day — Unfortunately, no refund or voucher will be provided.
Note: You cannot transfer or reschedule your trek booking within 20 days of the trek start date.
Weekend Treks Cancellation Policy in South India with Trexpert
1. Cancellation 15 days before the trek start date — Receive a refund with a 10% cancellation fee.
2. Cancellation between 15 and 7 days before the trek start date — Receive a refund with a 50% cancellation fee.
3. Cancellation within 7 days of the trek start date, or if you do not show up on the trek start day — Unfortunately, no refund or voucher will be provided.
In the event of Trexpert canceling a trek:
We rarely cancel our treks. However, in the rare event of a trek being canceled due to force majeure, natural calamities (such as continuous rain or snow, snowstorms, thunderstorms, floods, landslides, earthquakes, or any other natural disaster that hinders the safe conduct of the trek), unexpected circumstances like political unrest, curfews, local disturbances, pandemics, lockdowns, government directives, or any other situation jeopardizing the safety of the entire group, Indiahikes will issue a voucher for the full trek fee amount (excluding trek insurance). This Trek Voucher can be utilized on any of our treks within the next year.
Note 1: In case your entire group needs to end the trek after reaching the first campsite due to unforeseen circumstances like weather, trail conditions, or government restrictions, you can opt to redo the same trek under our Trek Again Policy. However, please note that we will not provide a voucher for this.
Note 2: Some trekkers anticipate receiving a trek voucher if they descend from the trek for any reason. Please be informed that we do not issue vouchers for trekkers who descend from the trek.
This situation may arise if your trek leader advises you to descend due to reasons such as lack of fitness, failure to maintain the turnaround time, altitude sickness, health issues, injuries, or violations of trek rules like drinking/smoking. Similarly, if you decide to quit the trek for personal reasons, no voucher will be provided.
In the unusual circumstance that Trexpert needs to change the trek:
There are occasions when factors beyond our control, such as extreme weather conditions (snow/rain), natural disasters (thunderstorms, floods, landslides, earthquakes), or unforeseen events like political unrest, curfews, pandemics, changes in regulations, or government directives, prevent the trek from proceeding.
In such cases, Indiahikes will make every effort to offer an alternative trek, which could be in the same state or a different one. If the cost of the alternative trek is lower than your current trek, a voucher for the price difference will be issued. However, if the cost is higher, you will need to pay the additional amount. If the alternative trek is not your preferred choice, a trek voucher for the trek fee (excluding insurance) will be provided, which can be used for any of our treks within the next year.
Please note that refunds for the trek fee or price differences are not possible.
In the event that Trexpert cancels your trek due to insufficient fitness:
When trekkers register for a trek, we trust that they are committed to becoming fit for the adventure. We provide detailed information about the fitness requirements well in advance and also make sure it is available on our website.
However, there are instances where trekkers do not adequately prepare for the trek. Undertaking a trek without the necessary fitness not only endangers you but also affects the experience for the entire group. As trekking is a team activity, adherence to common group guidelines is expected.
If you are unable to meet the fitness standards required for the trek, we may have to cancel your booking. In such cases, our standard cancellation policy, as outlined above, will be enforced. This policy is applicable even if you choose to withdraw from the trek due to lack of readiness or fitness on your own accord.
If you wish to reschedule your trek for a later available date:
If you wish to reschedule to a different date, the following policy applies:
For the first rescheduling, there will be no charge if it is done at least 30 days before the trek date. Rescheduling within 29 days of the trek will incur a 20% charge of the trek fee.
For the second rescheduling and onwards, a 20% charge of the trek fee will apply regardless of the rescheduled date.
Once rescheduled, there will be no refund or voucher provided if you decide to cancel the trek.
Rescheduling is not allowed if only 3 days remain before the trek begins.
If you reschedule to a trek with a lower cost, the remaining amount will be issued as a voucher valid for 1 year, not as a refund.
If the rescheduled trek costs more than the original booking, you must complete the additional payment within 24 hours via your dashboard to confirm the new trek.
The Trexpert Trek Again Policy (trekkers love this!)
There are certain beliefs and principles that are deeply important to us.
Our Trek Again Policy: As trekkers, there are instances when you may need to discontinue a trek midway. This could be due to illness, altitude sickness, or simply exhaustion. It may also be a decision made by your Trek Leader for safety or health reasons.
In such circumstances, we want you to know that we empathize with your situation. You are welcome to return at a later time, redo the same trek, and complete your adventure without any additional cost to Indiahikes.
Conversely, there are times when you develop a strong attachment to a trek. To the extent that you wish to experience it again, perhaps in a different season. If you have the desire to repeat a trek, please feel free to do so.
How to enroll for a repeated trek: Sign up for the trek through the regular registration process.
Upon finishing the trek, contact your Experience Coordinator, who will reimburse your entire trek fee.

If you reschedule or cancel your trek, our standard cancellation policy will be applicable to your reservation.
The Trexpert "Trek Again Policy" is not valid for our international trek routes. It also excludes any special treks, such as photography treks, stargazing treks, collaborative leadership programs, or any themed treks that we may introduce in the future. This policy is only applicable to our regular treks within India.
Trekkers utilizing the Repeat Trek Policy are not permitted to reschedule or cancel their treks within 20 days of the trek. Violation of this rule will render their Trek Again Policy void, disqualifying them from repeating the trek under this policy.
If you are availing of the trek again policy and decide to cancel, the standard cancellation policy will be enforced.
Trexpert Backpack Offloading Policies
Cancellation of offloading before or after reaching the basecamp — If you opt to cancel your backpack offloading AFTER reaching the base camp, we appreciate that decision! It demonstrates your commitment to trekking in its true essence. You prefer to carry your own backpack. You will receive a refund of the offloading fee to your account after deducting a 4% bank transaction charge.
Cancellation of offloading midway on the trek — No refund or voucher
In case you return halfway from the trek (for whatever reason) — No refund or voucher for the offloading fee paid
Trexpert Rental Gear Policies
If you cancel your rental gear up to 15 days before the booking window closes, you will receive a full monetary refund, with a deduction of 4% transaction charges.
Cancellation of rentals from 15 days until the booking window closes will result in a 50% monetary refund back to your payment method.
No refunds are provided after the booking window closes, including for cancellations at basecamp such as backpacks.
No size changes are allowed at basecamp, and no refunds will be given for such cancellations.
No offline rentals are available.
Gears/rental amount cannot be changed or used for other gears at the basecamp.
If you leave the trek midway due to health issues, disciplinary reasons, or personal reasons, no refund will be provided.
If Indiahikes cancels the trek for any reason before it commences, you will receive a monetary refund after a 4% deduction for transaction charges.
If Trexpert cancels the trek for any reason after it has started, you will receive a refund for the remaining days of the trek.
If the returned gear is damaged, an appropriate fine based on the extent of damage will be charged. The Store Incharge will determine the extent of damage. If the deposit amount is insufficient, you will need to cover the remaining cost.
If the trekker loses any rental gear, an appropriate fine equal to the value of the gear will be charged. If the deposit amount is not enough, you will be responsible for the outstanding cost.
How to cancel your trek
If you wish to cancel your trek, follow these steps:
Login to your Trexpert Dashboard.
Locate your upcoming trek on your home page.
Click on “Cancel Trek” and follow the on-screen instructions.
How long does the refund process take?
After canceling your trek, the refund amount will be credited to your bank account/credit card within approximately 4-5 working days, usually sooner.
